FAQ

When and where will the conference take place?
The 2018 National Leadership Conference will be held November 16-18 at the McCormick Place Convention Center in Chicago, IL. Attendees will stay at the Hyatt Regency McCormick Place, which is conveniently connected to the convention center.

Registration

How do I register for NLC?
Chapter leaders are able to register members from their chapter as a group. 
  • Log in to My ASDA
  • Scroll down to the end of the page and select “Chapter Portal.” 
  • Select “2018 NLC Group Registration.” Please note that only 12 members can be registered at a time. If you are registering more than 12 members, you will have to go back to the Portal Menu to register your additional attendees.  
Predoctoral and predental students have the option to register individually. 
  • Log in to My ASDA
  • Scroll down to “Events.”
  • Select “2018 NLC Registration – Individual.”
Review rates and deadlines
Do I need to be an ASDA member to attend NLC?
Yes, you must be an ASDA predental or predoctoral member to attend. If you are not a member, join here. If you are unsure of your membership status, contact ASDA's Membership Department.
What is included in my registration package?
Predoctoral students have the option to purchase a hotel or local registration package. Predental students have the option to purchase a hotel registration package, local registration package or a Saturday/Sunday hotel or Saturday/Sunday local registration package. 

Included in the hotel and local registration packages:
  • All breakout and general sessions
  • Dental Expo with more than 60 companies
  • National Leader Meet and Greet on Saturday
  • Meals
    • Breakfast on Friday, Saturday and Sunday
    • Lunch on Friday and Saturday
Attendees who register for the hotel registration package receive a shared hotel room with an attendee of the same gender. 

Included in the Predental Saturday/Sunday packages:
  • Breakout and general sessions on Saturday and Sunday
  • National Leader Meet and Greet on Saturday 
  • Meals: 
    • Breakfast on Saturday and Sunday
    • Lunch on Saturday

Who should I contact if I need help with registration?
Will I receive a confirmation of my registration?
A confirmation email of your registration will be sent to you immediately upon registering. The confirmation will come from the email address Registration@ASDAnet.org. Please make sure this address is on your “safe sender” list so confirmation details do not end up in your junk mail. 
My school requires a registration invoice, how do I obtain one?
Contact our registration department to receive an invoice. 
What if I registered and have not paid my registration fee?
Registrations must be paid in full by Monday, October 15. Registrants who have a remaining balance after October 15 may be subject to cancellation. Payment can be made by check, direct withdrawl from your chapter's bank account or by credit card.

To have the payment withdrawn from your chapter's bank account or if paying via credit card (Visa or MasterCard), email registration or call 312-440-2796 Monday through Friday from 8:30 a.m. - 4:45 p.m. CDT. If paying by check, please make checks payable to American Student Dental Association and mail to the following address. Please include a copy of the registration confirmation email with your payment:

Can I substitute, upgrade/downgrade or cancel my registration?
Yes. To substitute, change or cancel your registration, download the Registration Update Form and submit your request via email to Kerri Slezak.

  • Substitutions: Requests for substitutions will be accepted through Monday, October 15 at no charge. Substitution requests received after October 15 cannot be accommodated.
  • Upgrade/Downgrade Package: Requests to upgrade or downgrade your packages must be received by Monday, October 15 to process this change. Requests for upgrades/downgrades after Monday October 15 cannot be accommodated. 
  • Cancellation: Requests to cancel your registration must be received by Monday, October 15 to receive a full refund. Cancellations received from October 16 – November 5 will receive a 50% refund. Cancellations made after November 5 are not eligible for refund. 

Refunds will be made via the method that the registration was paid for. Refunds will not be given to no-shows.
Do you offer group discounts?
There are no group discounts available. View our registration fees.  
Can I register on site?
Yes, attendees can register for the local package onsite with immediate payment at the registration desk.

Hotel and Travel

Do I need to book my own hotel room?
No. If you selected the hotel registration package, ASDA will book your room for you at the Hyatt Regency McCormick Place. If you did not request a roommate during the registration process, you will be assigned a roommate of the same gender. Confirmation numbers will be sent via email prior to the meeting.

If you registered for the hotel registration package and are planning to arrive on Friday, November 16 instead of Thursday, November 15, contact Kerri Slezak by Monday, October 15 to adjust your reservation. 
What time is check-in and check-out at the hotel?
Full Event Hotel Package: Check in to the Hyatt Regency McCormick Place on Thursday, November 15 starting at 3:00 p.m. Check out on Sunday, November 18 at noon. Bring your luggage with you to the closing general session, or check it with the bellman located on the lobby level.

Saturday/Sunday Hotel Package: Check in to the Hyatt Regency McCormick Place on Friday, November 16 starting at 3:00 p.m. Check out on Sunday, November 18 at noon. Bring your luggage with you to the closing general session, or check it with the bellman located on the lobby level .
What if I need an ADA-accessible room?
Contact Kerri Slezak if you require an ADA-accessible room. ADA rooms will only be granted by contacting Kerri prior to the meeting.
Can I request a roommate?
Yes. All members who registered for a hotel registration package will have a roommate. If you did not request a roommate during the registration process, follow the steps below to make your request: 
  1. Log in to My ASDA
  2. Scroll down to “My Event Registrations”
  3. Select "2018 National Leadership Conference."
  4. Select the “Update Details” link next to the Hotel Registration Package 
  5. Enter first and last name of roommate preference in the box provided.
  6. Click update to save.
Roommate requests must be submitted online or emailed to Kerri Slezak by Monday, October 15. After this date, members will be paired with an attendee of the same gender. Rooming assignments are final after October 15. Changes will not be accepted at the hotel. 
Will I receive a hotel confirmation number?
A hotel confirmation number and the name of your roommate will be sent by ASDA prior to the meeting. If you have any questions or concerns regarding your hotel reservation, contact Kerri Slezak. No roommate changes can be made onsite. 
Can I extend my stay at the hotel?
Room are available three days pre/post National Leadership Conference based on room availability at the Hyatt Regency McCormick Place. Contact Kerri Slezak to inquire about extending your stay at the group rate.

Onsite Experience

Where and when can I pick up my registration materials onsite?
You can pick up all registration materials at the ASDA registration desk located by Gate 3 on the first floor of McCormick Place South Building.  

Registration hours are:
  • Friday, November 16, 7 – 8 a.m.
  • Saturday, November 17, 7 – 8 a.m.
What meals are included at NLC?
Friday: Breakfast and lunch 
Saturday: Breakfast and lunch
Sunday: Breakfast

Meals not included: All meals on Thursday, dinner on Friday and Saturday, and lunch on Sunday
What if I have dietary restrictions?

Follow these instructions if you have a dietary restriction:

  1. Log in to My ASDA
  2. Scroll down to “My Event Registrations”
  3. Select "2018 National Leadership Conference."
  4. Select "Update Registration Details."
  5. Click “Add Dietary Restrictions."
  6. Click update to save.
All dietary restrictions are due by Monday, October 15. After this date, contact Kerri Slezak with your dietary needs. 
What is the attire?
Business attire should be worn during all sessions on Friday and Saturday. Business casual attire should be worn during Sunday sessions. 

Men should wear suits. Women should wear suits, skirts or dresses. Make sure to dress in layers as meeting room temperatures tend to fluctuate.
What are the program tracks and topics included in each?

Do I have to choose one program track and follow it throughout the meeting?
No. The conference is organized into tracks to help you better understand what types of sessions are available. However, you can choose your own sessions and move between tracks at your leisure. 
Will there be Wi-Fi?
Yes. Attendees will have complimentary wireless internet in all meeting and sleeping rooms. Login information will be presented onsite. 
Is there a mobile app?
Yes. More information regarding how to download the mobile app will be sent closer to the event date.
Where can I find information on the surrounding area?
