FAQ

Where and when can I pick up my registration materials onsite? 
Pick up all registration materials at the ASDA registration desk located in the East Atrium at the David L. Lawrence Convention Center. Registration hours will be posted in February.
What meals are included at Annual Session? 
Thursday: Breakfast and lunch 
Friday: Breakfast and lunch
Saturday: Breakfast, lunch and dinner

Meals not included: Meals on Wednesday and dinner on Thursday and Friday.
What if I have dietary restrictions? 
Follow these instructions if you have a dietary restriction:

  1. Log in to My ASDA.
  2. Scroll down to “My Event Registrations.”
  3. Select "2019 Annual Session."
  4. Select "Update Registration Details."
  5. Click “Add Dietary Restrictions."
  6. Click update to save.
All dietary restrictions are due by Monday, January 28. After this date, contact Kerri Slezak with your dietary needs. 

 

What is the attire? 
Business attire is required for all sessions Thursday through Saturday. Men should wear suits and women should wear suits, skirts or business dresses. For the Gold Crown Awards Ceremony, attendees wear either business or cocktail attire. Attire for the President’s Gala is per the theme, which will be announced to attendees prior to the conference. Make sure to dress in layers as meeting room temperatures tend to fluctuate.
Will there be Wi-Fi? 
Yes. Attendees will have complimentary wireless internet in all meeting and sleeping rooms. Login information will be presented on onsite. 
Is there a mobile app? 

Yes. More information regarding how to download the mobile app will be sent closer to the event date.

Where can I find information on the surrounding area? 
Go to Visit Pittsburgh for a list of activities, restaurants and events in Pittsburgh. You can also visit the “maps” icon on the mobile app to see a list of local restaurants.
Registration FAQ
What does a hotel package include?
  • Shared hotel room* with attendee of the same gender. Check-in is on Wednesday, February 27 with check-out on Sunday, March 3.
  • Entrance to all breakout sessions, wellness functions and House of Delegate meetings.
  • Admission to the Dental Expo with more than 60 companies.
  • Admission to the Welcome Reception, Gold Crown Awards and President’s Gala.
*1 hotel room = 2 hotel registration packages. Each individual student who wants to stay at the hotel must register for the hotel package. If you have a roommate preference, specify when prompted during registration. 
What does the local package include? 
  • Entrance to all breakout sessions, wellness functions and House of Delegate meetings.
  • Admission to the Dental Expo with more than 60 companies.
  • Admission to the Welcome Reception, Gold Crown Awards and President’s Gala.
Do I need to be an ASDA member to attend Annual Session?
Yes, you must be an ASDA predental or predoctoral member to attend. If you are not a member, join here. If you are unsure of your membership status, contact ASDA's Membership Department.
What if I registered and have not paid my registration fee? 
Registrations must be paid in full by Monday, January 28. Registrants who have a remaining balance after January 28 may be subject to cancellation. Payment can be made by check, direct withdrawal from your chapter's bank account or by credit card.

To have the payment withdrawn from your chapter's bank account or if paying via credit card (Visa or MasterCard), email registration or call 312-440-2796 Monday through Friday from 8:30 a.m. – 5 p.m. CST. If paying by check, please make checks payable to American Student Dental Association and mail to the following address. My school requires a registration invoice, how do I obtain one? 
Contact our registration department to receive an invoice. 
Can I register onsite? 
Yes, attendees can register for the local package onsite with immediate payment at the registration desk.
Payment Policy:
Payment can be made by credit card or check. Registrations must be paid in full by Monday, January 28. Registrants who have a remaining balance after January 28 may be subject to cancellation. For any questions regarding payment, contact the Meetings Department at 312-440-2795 or via email.

  • To pay by credit card (Visa or MasterCard only), call 312-440-2795 Monday through Friday from 8:30 – 5 p.m. CST.

Substitutions, Registration Downgrades & Upgrades and Cancellation Policies:  
To substitute, change or cancel your registration, please download the Registration Update Form and submit your request via email to Kerri Slezak.

  • Substitutions: Requests for substitutions will be accepted through Monday, January 28 at no charge. Substitution requests received after January 28 cannot be accommodated.
  • Upgrade/Downgrade Package: Requests to upgrade or downgrade your packages must be received by Monday, January 28 to process this change. Requests for upgrades/downgrades after January 28 cannot be accommodated. 
  • Cancellation: Requests to cancel your registration must be received by Monday, January 28 to receive a full refund. Cancellation requests received from January 29 – February 12 will receive a 50% refund. Cancellation requests made after February 12 are not eligible for refund. 

Refunds will be made via the method that the registration was paid for. ASDA will not refund no-shows.
